Setting an account-specific business signature in Gmail on Android

A mobile signature helps recipients identify your business without relying on the device's default wording. Set it on the correct account and coordinate it with any centrally added company signature.

01 Check access and requirements

Prepare the approved short contact text and identify which business mailbox needs it. Check whether a centrally added footer is already present by reviewing a recently received external test message.

02 Set an account-specific business signature in Gmail on Android

  1. Open Gmail, open its menu and select Settings. Choose the business mailbox you want to change.
  2. Find Mobile signature or the signature setting available for that account.
  3. Enter concise contact information, such as your name, role and company website. Avoid long legal text or images that make every reply difficult to read unless your organisation requires them.
  4. Save the setting, compose a fresh message from the chosen account, and inspect a reply as well.

03 Confirm the expected result

Send a test to another provider and view it on a small screen. Check line breaks, phone numbers, links and whether a server-added signature duplicates your mobile one.

04 Resolve setup problems

If the signature appears on the wrong messages, confirm the selected sending account. A draft created before the setting changed may preserve earlier content, so test with a new draft. Product-specific Google Workspace or OX organisation rules may apply independently.

05 A common question

Does a mobile signature replace the webmail signature?

Not necessarily. Mail app settings and webmail settings are separate. Test each place from which you send and ask your administrator about any centrally applied footer.

06 Example: write a useful mobile signature

A mobile signature should identify the sender without overwhelming a short reply. For a small business, a name, role and verified contact method are usually more useful than a large image or a long list of promotional links.

Replace these illustrative details with your own. The example is not a Nabtech contact address. Avoid including private mobile numbers or an unapproved legal disclaimer.

Why is the signature different on my computer?

Your mobile application and web or desktop mail interface can have separate signature settings. Send a test from the Android app and a separate test from the other interface. Compare the received messages, including replies, rather than assuming one saved preference controls every device.

When several accounts are added to Gmail, select the intended account before editing its signature. Confirm the From address during the test so that a personal signature is not attached to a business reply. If you need help identifying which product manages a setting, tell us whether you use a hosted mailbox in Gmail or Google Workspace, as the surrounding account controls are different.
