Background synchronisation and notifications are related but different. Mail can synchronise without producing a notification, and the app can show cached mail even while background sync is restricted. Configure both for the specific business account.

What you need before you begin
Note the selected account, current sync behaviour and whether alerts are the actual problem. Keep webmail available so your test can distinguish receipt at the server, appearance in Gmail and the notification.
01 Control background sync and notifications for Gmail on Android
- In Gmail, open Settings and select the business mailbox. Review its available sync frequency or account sync option; controls differ between Google and non-Google IMAP accounts.
- Review Android's account synchronisation, background data and battery restrictions for Gmail. Permit the behavior required for timely business notifications.
- Check Gmail notification settings for the account and the Android notification permission for the app. Review any Focus or Do Not Disturb mode.
- Send a test message while the app is in the background and compare the server arrival, inbox update and notification.
02 Example: identify which part of delivery is delayed
| Test observation | What to check next |
|---|---|
| The message is absent in webmail and Gmail. | Investigate server delivery, filtering or mailbox capacity. |
| Webmail has it, but Gmail shows it only after manual refresh. | Review account sync, background data and battery restrictions. |
| Gmail contains the new message, but no alert appeared. | Review account alerts, Android notification permission and Do Not Disturb. |
Use one distinctive test subject and record each observation before changing a setting. Repeat with the app in the background under normal network and power conditions.
Expected result: the next adjustment targets the stage that actually failed instead of changing unrelated DNS or mailbox settings.
Confirm the expected result
Confirm which stage is delayed. If the message is already visible when you open Gmail but there was no alert, investigate notification controls. If only webmail has the message, investigate background connection and sync.
Troubleshoot unexpected results
Very restrictive battery settings, data-saving modes and poor connectivity can delay updates. Do not change MX records when only one phone is affected. Preserve local data before removing the account as a final troubleshooting step.
A common question
Can I pause alerts without stopping email delivery?
Yes. Disabling device notifications does not stop the server receiving mail. You can continue checking manually while reducing interruptions.
