Writing and sending business email in Thunderbird

email

Thunderbird can send from several identities, so review the sending account before composing a business message. Use an authenticated outgoing server associated with that mailbox and verify delivery using an independent test.

What you need before you begin

Select the intended business identity and prepare the recipient addresses, final message and approved attachments. For a setup check, choose an external mailbox that can confirm receipt and reply.

01 Write and send business email in Thunderbird

  1. Select the business account and choose Write. Inspect the From identity in the new message.
  2. Add recipients, a descriptive subject and the message text. Check autocomplete suggestions rather than assuming the first matching name is the correct person.
  3. Attach the intended files and review attachment size and sensitivity. Use your organisation's approved sharing method for large or restricted documents.
  4. Choose Send once. Check Sent and any Outbox or activity message if it does not complete normally.

Confirm the expected result

Send a small test to a separate mailbox and confirm the delivered sender identity, subject and attachment. A Sent copy alone does not guarantee that a later recipient-side rejection cannot occur.

Troubleshoot unexpected results

If incoming email works but sending fails, review the outgoing SMTP server assigned in Account Settings, its authentication details and secure port. If a bounce arrives later, retain the status code and message identifier for support.

A common question

Should I use my hosting login as the SMTP username?

Use the username shown in the mailbox connection settings, normally the full email address for an individual mailbox. Do not substitute the hosting account or client area login unless the service specifically instructs you to.
