Email Disk Usage can remove a selected set of messages from a specific mailbox folder. Its deletion action is permanent, so use it only after identifying what the business must retain and creating a usable archive.

What you need before you begin
Check the complete mailbox address and obtain any required retention approval. Download or export important mail and confirm the backup opens. Synchronised IMAP clients can reflect server deletions, so a local mail application is not automatically an independent backup.
01 Use Email Disk Usage to remove selected old messages
- Open Email Disk Usage and select the intended account from the mailbox selector.
- Compare folder sizes and message counts. Choose Manage beside the folder responsible for the space usage.
- Select a narrow criterion, such as older messages or a size threshold, after reviewing its meaning. Avoid All messages unless the entire folder is intentionally disposable.
- For a custom search, use the supported Dovecot query syntax and check the target carefully. Keep a record of the criterion and folder.
- Use Delete Permanently only when ready. Allow the usage calculation to refresh and send a small test message.
Confirm the expected result
The selected folder should use less space while required mail remains intact. Check both mailbox and total hosting usage because website files or backups can still fill the account.
Troubleshoot unexpected results
If the result is unexpected, stop cleanup and restore from the verified archive or available backup. There is no promise that permanently deleted messages can be recovered through Trash. If usage does not immediately fall, wait for recalculation and inspect other large folders before deleting more.
Should I remove mail files through File Manager?
Prefer the mail-aware interface or your email client. Deleting mailbox storage files manually can damage indexes or remove messages you did not intend to target.
