Why does forwarded mail fail when direct delivery works?

Forwarded mail can fail even when direct delivery succeeds because the receiving provider evaluates authentication after the message passes through another server. Diagnose the specific rejection before rebuilding a working mailbox.

Gather the details you will need

Collect one failed forwarded message and one successful direct test, including complete delivery responses. Identify whether forwarding is local-to-local or to an unrelated external provider.

01 Trace the forwarded message and delivery response

  1. Use Track Delivery to locate the original recipient and the onward destination. Record the remote server’s rejection or deferral text.
  2. Confirm the forwarder’s destination is spelled correctly and still accepts mail. Test that destination directly from an unrelated sender.
  3. Compare authentication results where available. Forwarding can change the sending IP and affect SPF; message changes can also invalidate a DKIM signature.
  4. Ask support whether the server’s forwarding configuration and available sender-rewriting or authentication handling match the destination’s requirements. Do not assume one setting guarantees acceptance by every provider.
  5. Consider keeping mail in the hosted mailbox and reading it through an authenticated client if reliable external forwarding cannot be established. Test any replacement arrangement before retiring the old path.

Confirm the expected result

The same test should pass through the intended forwarding route with a clear delivery record. Keep a local copy only when your forwarding and mailbox configuration intentionally provides one.

If the problem continues

Do not weaken a domain-wide DMARC policy solely to hide one forwarding problem without understanding the effect on impersonation protection. Repeated forwarding loops can create failures of their own; remove any path that forwards back to its starting address.

Can the hosting server force Inbox delivery?

No. The destination provider applies its own authentication, reputation and spam decisions. The useful goal is a correct forwarding configuration supported by traceable delivery evidence.
