Customize HostBill customer email templates

hostbill, email

Customise HostBill messages so each notice explains what happened and what the recipient should do next. Preserve the variables and links required for the actual billing or support workflow while improving the wording.

01 Edit and test a template

  1. Open Settings > Message Templates and select the correct client or administrator group. Save a copy of the current template before editing.
  2. Confirm which event uses the template and whether a product, department or customer setting selects an alternative. Editing an unused template will not change the message customers receive.
  3. Write a clear subject and body. Use the available-variable list for that template rather than copying variables from an unrelated message type.
  4. Review the sender, HTML and plain-text options, BCC and any portal-notification setting. Include direct, authenticated client-area links for account actions.
  5. Keep payment instructions, service dates and access details accurate. Do not add promised response times or refund terms that your business has not approved.
  6. Preview and send a controlled test with representative data. Test missing optional values, long product names and a nondefault language where applicable.
  7. Verify the received email on a small screen and check every link. Use responsive images no wider than 900 pixels if branding images are needed.

02 Maintain translations and history

HostBill supports translations for client email templates when the relevant client-area languages are enabled. Review translated dates, amounts and action wording as carefully as the source language. Administrator templates use a different capability set, so do not assume all client translation controls apply.

After a module upgrade, compare your custom version with new default fields or links required by the changed workflow. Preserve useful event details and keep confidential email logs accessible only to authorised staff.

03 Example: make a HostBill service message actionable

Your service-ready email looks attractive but does not tell a new customer where to begin. In Settings > Message Templates, select the client template actually used by that event.

  1. Save the existing wording and identify the available service-name and client-area variables for this template.
  2. Lead with a short sentence confirming what is ready.
  3. Keep the supplied service details and add a clear instruction to open the service in the client area.
  4. Use only variables available to this message type.
  5. Preview with a long product name and a missing optional value, then send a controlled test.

Expected result: the received email identifies the service and provides a working next action. Check the actual link and mobile layout instead of assuming the editor preview represents every mailbox.

Common questions

Why does a variable appear blank?

The triggering event may not provide that value, or the variable may belong to another template type. Check the template's available variables and test the actual event context.

Does enabling a template override disabled system mail?

No. Global sending, customer preferences and department routing can still affect delivery. Inspect the complete route when a correctly written message is not sent.
