Apply an approved tax policy in HostBill

hostbill, resellers

Configure HostBill's tax settings from an approved tax schedule for your business, customers and products. The software provides calculation controls; it does not determine which registrations, rates or exemptions apply to your company.

01 Prepare and enter the rules

  1. Record the approved customer locations, product tax groups, effective rates, exemption handling and whether your published prices include tax. Keep the source and effective date with the configuration request.
  2. Open Settings > General Settings > Taxes, within the currency and tax configuration area, and enable tax when required by the approved schedule.
  3. Choose inclusive or exclusive pricing to match the way your prices were set. Test a sample total before changing this setting on an established catalogue.
  4. Use Add new tax to enter the rule name, level, rate, group and applicable country or state. Create separate groups where different product treatment is required, then assign the correct group to each product.
  5. Review the specific controls for domains, late fees, credit application, negative lines and add-funds documents. Do not enable every tax option simply because it is available.
  6. Check customer-level exemptions or custom tax overrides and document why each exists.

02 Validate representative invoices

Build test cases for each material customer and product combination. Include a normal purchase, discount, credit settlement and credit note. Compare the expected net amount, tax and total with HostBill's invoice and PDF.

Check the configured rounding method using several small line items, where rounding per line can differ from rounding the total. Record the approved result. Schedule tax changes carefully and review existing issued documents separately from future invoices.

Common questions

Can I rely on a country preset without review?

Use it only as a starting point. Confirm its rates, scope and calculation behaviour against the currently approved tax schedule before issuing invoices.

Why does one customer receive a different tax result?

Compare the customer's location, exemption or custom settings, product tax group and invoice date. Check the actual line-level calculation before altering a global rule that affects every customer.
