Creating a business mailbox and connecting your email apps

Where email hosting is included and enabled for your Web Hosting account, you can create a professional address using your own domain, such as [email protected] or [email protected]. A mailbox stores messages and has its own login details and storage allowance. An email forwarder is different: it passes messages to another address and may not provide a separate inbox unless a mailbox is also created.

01 Create the mailbox and confirm incoming mail routing

  1. Open the selected service's Account Manager and choose its email account controls, or use the equivalent cPanel email tool.
  2. Select the correct domain, enter the mailbox name, and create a strong unique password.
  3. Choose an appropriate quota within the package allowance.
  4. Confirm that the domain's mail records route incoming messages to the service where you intend to keep the mailbox.

02 Connect webmail or a mail app and test both directions

You can then open the webmail option provided for the mailbox or configure a desktop or mobile mail app. Use the exact incoming and outgoing server names, encryption settings and connection details shown for your account. The username is commonly the full email address, but the account's own setup instructions are the source to follow. Avoid guessing a server hostname or disabling encryption simply to bypass a configuration error.

Send a test message to an external address and reply from that address to verify both directions. If webmail works but your mail app does not, compare the app's settings with the supplied configuration before resetting the mailbox. Monitor storage, especially when messages and attachments accumulate across several devices. Before deleting a mailbox, preserve any business correspondence you need and check whether forms, invoices or staff members still use it. Mailbox deletion and changing where mail is delivered can affect access to messages independently of your website's availability.

03 Example: create and test a business mailbox

A new team member needs [email protected]. Create it through the selected hosting service's email controls, choosing the correct domain and a quota within the package allowance.

When connecting a mail application, build its setup record from the account's supplied configuration:

Code or configuration example
Email address: [email protected]
Username: [copy the supplied username]
Incoming server: [copy from this mailbox's setup details]
Outgoing server: [copy from this mailbox's setup details]
Ports and encryption: [use the supplied settings]
Password: [enter the mailbox password in the mail app]

Send a message to a controlled external account and reply from it. Check both directions in webmail and in the application.

Expected result: the mailbox sends and receives using the actual server settings. If webmail works but the app does not, compare the app configuration first.

Does a working website prove that my new mailbox works?

No. Website access and mailbox delivery use different services and settings. Verify sending, receiving and website-generated messages separately.

  1. Create the mailbox in the appropriate service and use its supplied server and encryption settings for the mail app.
  2. Send a message to an external account and reply from that account to confirm sending and receiving separately.
  3. Test a website-generated message as a separate step if the business uses contact forms or notifications.

A working mailbox does not automatically configure an application's SMTP settings. Likewise, a Zoho, OX or other separately subscribed workplace account is managed through its own service. Keep the mail provider, authoritative MX records and local/remote routing consistent.
