Create a manual HostBill invoice when an authorised charge is not already covered by the normal order or recurring-service workflow. Check for an existing invoice first so the customer is not billed twice for the same work.
01 Create and review the invoice
- Open Payments > Invoices and search the customer and service period. Confirm that the charge is approved and has not already been generated by automation.
- Choose New invoice. Select the correct client and use a standard invoice for a single charge. A recurring type creates a template for repeated invoicing and needs its own schedule review.
- Complete the invoice date, due date, payment method, currency and approved tax treatment. Add clear line descriptions, quantities and prices that identify the service or work covered.
- Review the total and any applied credit. Add only customer-appropriate information to public notes, since those notes can appear on the invoice and PDF.
- Save the completed invoice, preview the customer document and use Send when it is ready for delivery.
- After payment, verify the actual transaction and invoice balance. For an offline payment, record the verified receipt with its unique reference rather than merely changing the status label.
02 Handle corrections deliberately
Check invoice locks, your invoicing method and staff privileges before editing an issued document. Use your approved correction or credit-note process where required. Preserve the reason and relationship between the original charge and its correction so support and accounting can follow the history.
Common questions
Does Mark Paid record a bank payment?
No. HostBill distinguishes changing the invoice status from recording a transaction. Verify the bank or gateway receipt and use the payment workflow to associate the correct amount with the invoice.
Does a manual invoice automatically create a hosting account?
Do not assume it does. Confirm whether the invoice is tied to a service or order with a provisioning workflow. An ad hoc charge for consulting or migration work may intentionally have no automated resource creation.
