Build a hosting customer onboarding checklist

web-hosting

Hosting onboarding is complete when the customer can access the right service, understand their next steps and reach support. An automated welcome email is one part of that outcome.

01 Complete the onboarding checks

  1. Confirm that the order, customer identity and payment or approved trial arrangement match the intended service. Review any required account verification before changing access.
  2. Verify provisioning at the provider: correct account, domain, package, resources and customer association. Check failed or pending tasks instead of relying only on an Active label.
  3. Send the approved welcome instructions through the billing platform. Include the client-area route, service management entry point and secure password-setup process.
  4. Explain the DNS or migration action appropriate to the customer's situation. Confirm the authoritative DNS provider before advising nameserver or record changes.
  5. Check the first practical task, such as opening the management panel, publishing a test page or sending a test message. Link to the guide for the customer's actual control panel and product.
  6. Explain billing dates, renewal controls, trial conversion where applicable and separately purchased options using the current order details.
  7. Provide the support route and the information that makes a request actionable: service, exact error, timestamp and recent change.

02 Make ownership clear

Identify who maintains the website application, domain registration, DNS, email and backups. Record any migration or setup work still pending and who owns it. For a business customer, encourage named authorised contacts with suitable permissions rather than shared account credentials.

Review the first service interaction and any undelivered welcome message. A customer who cannot sign in needs an access recovery workflow, not repeated copies of the same failed email.

Common questions

Does an active hosting account mean the domain already points to it?

No. Provisioning and DNS routing are separate. Verify the domain's current authoritative configuration and the intended cutover before changing records.

Should I include passwords directly in the onboarding checklist?

Use secure access setup and protected credential handling. The checklist should record that access was established and where authorised recovery is documented, without becoming a second password store.
