Choosing an alias, group or shared mailbox for a department

email

Choose a department address according to how the team will receive, answer and track messages. An alias, distribution group and shared mailbox solve different problems, and their availability and licensing depend on the email product.

01 Choose and test the right model

  1. List who must read incoming messages, who may reply and whether the team needs one common conversation history.
  2. Use an alias when an additional address should deliver to an existing user's mailbox. Confirm that replies can use the intended address and understand that the alias is not a separate login.
  3. Use a distribution group when several people should receive copies. Decide whether external senders are permitted and who maintains membership.
  4. Use supported mailbox delegation or a shared-mailbox feature when the team needs controlled access to a common mailbox. Confirm the relevant plan, permissions and sending behaviour.
  5. Create a small pilot using named staff accounts. Test an external enquiry, an internal message, a reply and a staff-member removal.
  6. Document who owns the address, monitors unanswered work and reviews access. Publish the address only after the team can use it correctly.

Common questions

Can a group prevent two people replying to the same message?

A basic distribution list usually gives members separate copies. If assignment or a shared response state is required, evaluate an eligible collaborative mailbox or help-desk workflow.

Is a shared mailbox always free?

No. Licensing rules differ by provider and feature. Ask for the actual ordered plan's requirements before comparing costs.

Which of your email products support these choices?

Google Workspace, Zoho Mail and OX App Suite have different address and collaboration controls. Use the relevant product guide and confirm that the specific feature is enabled in your subscription.
