Create an individual Google Workspace account for each person who needs a licensed mailbox and the included business applications. An alias is useful for another address belonging to the same person, but it does not create a separate user's login or storage entitlement.

01 Before adding the account
Confirm the verified domain, available licence and required organisational unit. Adding users can change subscription costs according to the agreement. For a Nabtech-managed subscription, arrange additional licences through the applicable service process if they are not available in the console.
- Sign in to the Google Admin console with an account permitted to manage users.
- Open Directory > Users and choose Add new user.
- Enter the person's name and primary address. Select the correct domain if the organisation has more than one.
- Review the organisational unit, password options and a suitable secondary contact address. Do not send the only welcome instructions to a mailbox the person cannot yet access.
- Create the user and deliver initial access through an approved private channel. Require a password change where appropriate and guide the person through the organisation's 2-Step Verification policy.
- Confirm the appropriate licence and services are available before assigning operational work.
02 Verify the new user
Ask the person to sign in using the primary address, open Gmail and send an external test message. Check the reply and access to any required Drive folder or team group. Service activation and directory visibility can take time, so record a clear error if access is still missing after the expected processing period.
03 Example: onboard one Google Workspace employee
Your organisation has an available licence and needs an account for Ada in its customer-success team. In the Google Admin console, open Directory > Users > Add new user.
- Enter the first name
Ada, the employee's surname and the agreed primary address[email protected]. - Select the correct verified domain and organisational unit.
- Review the password and initial-access options, using a contact route Ada can already access.
- Create the user and confirm the intended licence and business applications are available.
- Ask Ada to sign in, send an external test message and receive a reply.
Expected result: Ada has an individual business identity and mailbox. Required team groups and shared files should be checked separately before assigning customer work to the new account.
What should I check if Google Workspace user creation fails?
Check for an existing user, group or alias using the address, an exhausted licence allowance or insufficient administrator permission. Do not delete another account simply to free the name without reviewing its business data.
Finish onboarding by recording the manager, groups and access owner. Keep the account with the organisation when a contractor or employee leaves rather than allowing business records to depend on a personal login.
