Give each WHMCS staff member an individual administrator account with a role matched to their work. Separate routine support, billing adjustments and system configuration so sensitive actions remain deliberate and attributable.
01 Create and assign a role
- List the tasks the staff member needs, including the records they must view and the changes they may make.
- Open System Settings and Administrator Roles. Create a new role group or edit an appropriate existing role.
- Select the required permissions, including the related management permission where a create action depends on it.
- Allow the required landing page, such as Main Homepage or Support Center Overview, so the user can work after login.
- Set report access and the categories of administrative emails the role should receive.
- Save, then assign the role through Administrator Users and select the intended support departments.
- Test the role with representative permitted and prohibited tasks before relying on it.
02 Review high-impact permissions
Pay particular attention to refunds, invoice adjustments, module commands, addon configuration, API administration and exports. A staff member who answers billing questions may need to view an invoice without permission to change money or terminate a service.
In WHMCS 9.0, invoice-management and credit-or-debit-note permissions affect the available billing workflow. Grant the capabilities needed for the approved role rather than using a full administrator account to avoid an access error.
Common questions
Why does a create action show Access Denied?
Check both the create permission and its related manage permission. Add only the missing capability justified by the role.
Can department assignment alone prevent all ticket access?
Review broader permissions such as Access All Tickets Directly as well. Test direct ticket access with the intended role.
What happens when staff leave?
Disable their account, review associated API credentials and reassign open work. Keep the audit history instead of sharing or recycling the former staff member's login.
