Renaming a Google Workspace user without losing their account

email

Renaming an existing Google Workspace user can update their profile name or primary email address while keeping the same account. These are different changes. A display-name correction does not require a new mailbox, and deleting an account to recreate a name can put business data at risk.

01 Plan the change

Confirm the exact new name and address with the authorised business owner. Check whether applications, sign-in integrations, shared documents and customer systems use the current address as an identifier. Schedule a change when the person can update their devices and verify access.

  1. Open Directory > Users in the Admin console and select the existing account.
  2. Use the available Update user or rename action.
  3. For a display-name change, edit only the first and last name. For an email change, follow Google's current primary-address workflow and select an eligible verified domain.
  4. Review the confirmation and any stated effect on the old address. Preserve an old-address alias where the workflow supports it and the business needs continued delivery.
  5. Notify the user of the new sign-in address where it changed and arrange reauthentication in affected applications.

02 Verify continuity

Test sign-in, incoming mail to the new address, expected delivery to the old address, outgoing identity and access to key files. Update signatures, published contact information and integration settings that do not change automatically.

Why is the old name still visible?

A recipient may have a saved contact, or the sender may have a separate Gmail display-name setting. Previously sent messages also preserve historical information. Review the exact location instead of repeating the account rename.

If the intended address already exists, investigate whether it belongs to another user, alias or group. Do not remove that record until its purpose and data have been reviewed. Keep the change record so later delivery questions can be traced to the correct old and new identities.
