Investigate a hosting invoice dispute with a clear record

web-hosting, account-help

Investigate a disputed hosting invoice by tracing the agreed service, billing period and settlement history. A clear record helps you correct an error without losing the evidence needed to explain the original charge.

01 Review the disputed charge

  1. Verify the requester can discuss billing for the account. Record the invoice number, disputed amount, currency and the customer's explanation in a private case.
  2. Identify the service and billing period behind each disputed line. Compare the order, accepted plan, recurring price, promotion and any approved upgrade or cancellation.
  3. Check the invoice's status and transactions. Distinguish a card payment, account credit, manual status change, refund and payment reversal.
  4. Compare dates carefully. An invoice may have been generated before a cancellation request or cover a domain renewal that is separate from hosting.
  5. Inspect gateway evidence for an alleged duplicate charge. Match transaction references and settlement amounts instead of relying on two similar descriptions in a banking application.
  6. Document the conclusion and any authorised correction. Use the platform's supported credit note, invoice correction or refund workflow as appropriate to the record and accounting policy.
  7. Explain the resolution with the relevant service dates and adjustment reference. Check whether future recurring billing also needs correction.

02 Preserve the financial trail

Keep the original invoice and transaction references linked to the case. In WHMCS 9.0, published invoice corrections use the supported credit, debit and reissue mechanisms; changing historical data directly is not the normal correction workflow. HostBill also separates invoices, payment transactions and credit notes.

If the payment provider is handling a formal dispute, assign an owner to review its current response deadline and evidence requirements. Avoid promising a refund that has not been approved or issuing a second refund while the provider's reversal is still unresolved.

Common questions

Should I delete an incorrect invoice?

Follow the supported correction process for its publication and payment state. Deleting evidence can make it harder to reconcile a payment or explain why the original charge was changed.

Does crediting the invoice return money to the customer's card?

Not necessarily. An invoice adjustment, customer credit and gateway refund are different events. Confirm the required outcome and verify the resulting transaction.
