Import contacts into the managed Google account that should own them. A contact import copies address-book data; it does not create Workspace user accounts or automatically update the organisation's directory. Keep those responsibilities separate when migrating a team.

01 Prepare a clean export
Obtain a supported CSV or vCard export from the source account and store it securely. Review names, email addresses, phone formats and unnecessary personal fields. Start with a small sample when the source uses unfamiliar field names or character encoding.
- Open Google Contacts with the intended business account.
- Choose Import and select the supported contact file.
- Run the import and inspect representative records, including one with several numbers or a non-English name.
- Check for duplicates before importing the full collection or repeating a failed-looking job.
- Apply a suitable label to organise the imported set where helpful.
- Test recipient selection in Gmail and any authorised device synchronisation.
02 Example: import one contact with clear CSV fields
The current English Google Contacts template supports these field names. Save this illustrative record as a UTF-8 .csv file, keeping its header row:
First Name,Last Name,Email 1 - Label,Email 1 - Value
Ada,Okafor,Work,[email protected]
In the intended business account, open Google Contacts and choose Import > Select file, select the CSV and import it. Check that Ada appears with the correct first name, surname and work email address. The record creates a saved contact, not a licensed Workspace user. For a larger migration, use Google's current template, include only needed columns and inspect the pilot before importing the remaining records or retrying a job.
What if fields are wrong?
Correct the source format or mapping rather than making hundreds of uncertain manual edits. Keep the original export until the result is verified. A phone number placed in notes or a surname merged into the wrong field can make the address book difficult to use.
03 Personal contacts and Directory
A user's saved contacts and the company's searchable Directory are different sources. Importing a customer's address does not make that customer an employee or grant access to Workspace. Review sharing and directory administration separately.
Delete temporary export files according to your organisation's handling policy after verification. They can contain personal information and should not remain in a public website folder or an open support attachment. If a device still shows old contacts, check the account selected for synchronisation before deleting and rebuilding its entire address book.
