Finding and reducing Google Workspace storage use

email

Google Workspace storage depends on the purchased edition and the organisation's allocation rules. Review actual usage before deleting data or buying more capacity. Gmail, Drive and shared drives can contribute to the total in different ways, so a single user's mailbox size is not the whole picture.

01 Find the main consumers

  1. Open the Admin console's Storage area with an authorised administrator account.
  2. Review the total allowance, current usage and the breakdown available for users and shared drives.
  3. Identify unusual growth and compare it with legitimate activity such as recordings, project uploads or a migration.
  4. Check any user or shared-drive storage limit before concluding the entire subscription is full.
  5. Assign a data owner to review large or obsolete items. Preserve records required by the business before deleting them.

02 Reduce usage deliberately

Start with redundant downloads, unnecessary duplicate uploads and unneeded large attachments or recordings. Review Trash separately and understand when deletion becomes permanent. A user's deletion can affect collaborators, so confirm ownership and use before removing shared material.

If a file is needed outside Google Workspace, export it to an approved location and verify the copy opens before deleting the source. Moving data to an unmanaged personal account is not a suitable default for business records.

When should I consider a Google Workspace storage upgrade?

If legitimate retained data exceeds the available capacity, compare the current edition's options and subscription terms through us. Consider storage and application requirements together. Do not assume a consumer Google One purchase increases a managed Workspace organisation's allowance.

Confirm the expected result

Allow the service's usage reports to refresh, then check the affected user's ability to send, receive or create files. Keep an early warning threshold and a named owner for recurring reviews. A one-time cleanup without a retention and growth plan can leave the organisation facing the same problem again.
