Suspending a Google Workspace user blocks their access while keeping account data. It is useful during an authorised investigation or a staff departure review. It is different from deleting the user, changing a password or cancelling a subscription.

01 Understand the service impact
For an administrator-suspended account, new email and calendar invitations are blocked. Existing shared-document collaborators can retain their access. Google continues charging for suspended accounts under its standard annual and flexible billing arrangements, so suspension should not be assumed to reduce the Nabtech subscription cost.
- Confirm the authorised reason and identify business processes using the account, such as customer correspondence or application ownership.
- In the Admin console, open Directory > Users and select the correct person.
- Use the suspend action and review the confirmation before applying it.
- Record the time and verify the account status.
- Review active sessions, connected applications and other access requiring separate action as appropriate to the incident.
- Arrange an authorised handover or mail-routing plan for continuing business work.
What access should I review after suspending a Google user?
Test the business workflow through the replacement owner, not by sharing the former user's password. Review shared files, groups, calendars and external services individually. Suspension of Google access does not automatically remove a person's access to every unrelated application.
02 Restoring the user
When access should return, use the account restoration action after confirming approval. Review security settings and credentials where the original suspension involved a suspected compromise. Test sign-in and essential services after restoration.
03 Planning permanent departure
Choose an appropriate preservation, transfer or archived-user arrangement before deletion. Different data types have different transfer options. Keep ownership and retention decisions documented so a later licence change does not accidentally remove records the organisation still needs.
