WHMCS late fees should implement the company's approved customer agreement. Decide the amount, trigger date, exceptions and communication before enabling automatic charges on overdue invoices.

01 Configure the fee
- Open General Settings and the Invoices tab.
- Select the intended Late Fee Type and enter the approved Late Fee Amount. Use the documented zero amount when late fees should be disabled.
- Review Late Fee Minimum, especially with percentage fees on small invoices.
- Open Automation Settings and confirm the late-fee timing relative to the invoice due date.
- Review tax treatment for late fees with the accounting owner and the related Tax Configuration setting.
- Test a qualifying overdue invoice and a nonqualifying invoice in a private environment. Inspect the resulting total and customer communication.
02 Check existing overdue invoices before enabling
Enabling or shortening a fee delay can affect invoices that are already overdue. Review that population before the next automation run. Identify approved extensions, disputed amounts and payments awaiting manual allocation so that the policy is not applied to unresolved administrative errors.
Explain the fee and payment deadline in the relevant customer agreement and reminder templates. Keep wording consistent with what the configuration actually does. Do not describe a percentage fee as a daily charge if the system applies a one-time fee.
How should I correct a late fee applied in error?
WHMCS 9.0 records an applicable late fee through a debit note. Review the invoice ledger and use the supported correction or reissue process when the fee must be removed. Avoid editing the original published line items or applying an unrelated credit without explaining its purpose.
If a payment arrived on time but was recorded late, reconcile the receipt date and the automation sequence. Correct the payment-handling process as well as the individual invoice.
03 Review results
After the first live run, sample the affected invoices and confirm the amount, timing and notifications. Keep a clear approval path for exceptions instead of letting administrators make inconsistent silent adjustments.
