Review and accept a WHMCS order without duplicate provisioning

whmcs, resellers

Review a WHMCS order by checking its payment, risk information and delivered items before accepting or cancelling it. The order's review status is distinct from the state of its services, and automatic setup may already have provisioned an item.

01 Review and accept an order

  1. Open Orders and List All Orders or Pending Orders, then open the relevant order.
  2. Check the customer, items, invoice, payment transaction and any fraud-screening result. Confirm that the order matches the customer's request.
  3. Inspect each related service or domain. Determine whether hosting creation or domain registration has already completed.
  4. For an item that still needs provisioning, verify its selected server, package or registrar and the available creation option.
  5. Select Run Module Create or the corresponding creation control only where the remote action is required. Review welcome-email options, then use Accept Order.
  6. Verify each item's result and investigate any failure through Module Queue.

Does a Pending order mean its service has not been created?

An order can remain awaiting administrative review while its paid items have been activated under the product's automation settings. Conversely, accepting the review record without running the necessary module action does not establish that a remote account exists. Check the service and provider result directly.

02 Handle cancellation deliberately

Review the exact action before using Cancel Order, Cancel and Refund, Set as Fraud or Delete Order. Some of these actions can terminate active provisioned services or change associated invoices. Deleting an order can remove related records and is unsuitable for keeping a normal audit trail of a disputed purchase.

If only one item is wrong, investigate an item-level correction rather than applying an order-wide action to a mixed order. Confirm any refund separately against the gateway transaction and the customer's approved request.

03 Record the decision

Keep an internal note of the review, exceptions and any manual fulfilment. This helps the next administrator distinguish an intentionally approved unpaid arrangement from a missed payment check.
