Adding and using an email alias in Zoho Mail

email

An alias gives an existing Zoho mailbox another address. It is useful when one person handles both [email protected] and [email protected]. It does not create a separate inbox, independent storage allocation or separate employee identity.

01 Add the address

  1. Confirm who should receive the alias and whether the address has previously belonged to somebody else. Preserve any old mailbox before changing ownership.
  2. In Zoho Mail Admin Console, open Users and select the destination user.
  3. Open Mailbox Settings > Email Alias. Add the local part and choose a verified organisation domain.
  4. Save the alias, then send an external test message to it. Confirm the intended mailbox receives it.
  5. If the user must send from that identity, open a new message and inspect the available From addresses. Select the alias and verify the visible From and Reply-To at the recipient.

02 Example: add a Zoho role address to an existing mailbox

Ada needs to receive invoices at [email protected] while keeping her existing mailbox at [email protected]. Confirm that she is the intended owner of the role address.

  1. In Zoho Mail Admin Console, open Users and select Ada.
  2. Open Mailbox Settings > Email Alias.
  3. Add accounts and choose the verified company domain.
  4. Save, then send an external test to the alias and check Ada's inbox.
  5. If she must reply as Accounts, inspect the available From addresses in a new message and test that identity.

Expected result: the address delivers into the existing mailbox and replies use the chosen identity. If several colleagues need coordinated handling, choose a suitable group or shared-mailbox workflow instead.

When should I use a Zoho alias, group or separate mailbox?

Use a group or shared mailbox when several colleagues need coordinated access. An alias owned by one employee can become a continuity problem when that employee leaves. Zoho also permits aliases as account sign-in addresses, so treat a reassignment as an identity change and communicate it to the owner.

03 Troubleshoot and remove safely

Duplicate-address errors usually mean the address is already allocated to another user, alias or group. Check those objects instead of repeatedly submitting the same request. A working incoming alias with the wrong outgoing name normally requires a From-address or signature adjustment.

Before deleting an alias, search websites, invoices, forms and supplier records for its use. Replace those references and test the replacement first. Removal can cause future mail to bounce; it does not automatically notify senders or move historical messages to a new owner.
