Sharing a Zoho Calendar without exposing unnecessary details

email

Share calendar availability at the lowest level that meets the purpose. A colleague arranging meetings may need free/busy information, while a scheduling assistant may need event details and permission to edit.

01 Choose a private sharing arrangement

  1. Open Zoho Calendar settings and select the calendar you own.
  2. Open its sharing and permissions controls. For a specific colleague or group, use the individual or group sharing option.
  3. Enter the intended Zoho account or group and select an appropriate permission level.
  4. Save the arrangement and ask the recipient to open the shared calendar.
  5. Test a harmless event. Confirm the recipient can see only the intended detail and can edit only if that was explicitly granted.

02 Consider public links separately

A publicly shared calendar or published subscription link serves a different audience from private sharing. Use it for intentionally public schedules, not staff absence details or customer appointments. Before publishing, inspect existing events and descriptions for information that should remain internal.

03 Manage changes

Review sharing when a colleague changes role or a contractor finishes work. Remove access from the calendar's permissions and test again from the recipient side where practical. If a link was disclosed outside the intended audience, follow the available link-reset or publication controls and assess which event details were exposed.

Why can a colleague view but not edit my Zoho Calendar?

Confirm the recipient is using the exact account invited. Read-only subscriptions and external calendar feeds do not necessarily support changes back to Zoho. Check ownership and the assigned permission before expecting two-way editing.

Group membership can change who inherits access, so include calendar groups in staff reviews. If a meeting must be moved, ask the organiser to update the event where the viewer lacks rights. Copying the event into another calendar does not transfer its original invitations or organiser responsibility.
