Create a Zoho Calendar event with the correct organiser, time zone and participants so updates reach everyone through one authoritative invitation. Check that Calendar access is available in the account.

01 Create the event
- Open Zoho Calendar and choose New Event or the intended time on the calendar.
- Select the calendar that should own the event. Enter a useful title, start and end time, and the correct time zone.
- Add the location or meeting link, an agenda and any preparation needed. Do not put confidential material in a broadly shared event.
- Enter attendee email addresses and review their spelling. Use availability information where the participants' permissions expose it.
- Set reminders and participant permissions deliberately, then save and send the invitation.
02 Verify participation
Ask an internal and, if relevant, external attendee to check the displayed time and respond. An invitation listed in your calendar does not prove every attendee accepted or received it. Review response status before making plans that depend on attendance.
03 Update the same event
When the time or link changes, edit the organiser's event and send the update. Creating an unrelated replacement can leave two active invitations in attendees' calendars. If the meeting is cancelled, send the cancellation rather than only removing your personal copy.
What should I check if a Zoho calendar invitation is missing or incorrect?
A one-hour discrepancy often involves time zones or daylight-saving rules. Compare the event's actual zone and date, not just the computer clock. If invitations are missing, check recipient spelling, mail delivery and the account used to organise the event.
For meetings created on a shared calendar, ensure you have the required editing rights. A person invited to attend is not automatically permitted to change the organiser's schedule. Keep a practical alternative contact in the invitation for participants who cannot use the meeting link.
