Setting up approved forwarding in Zoho Mail

email

Forward Zoho mail only to a destination the organisation has approved. Automatic forwarding creates another copy outside the original mailbox and can bypass normal team access and retention arrangements.

01 Enable and verify

  1. In the source Zoho mailbox, open Settings > Mail Accounts, select the source address and find Forwards.
  2. Enter the exact approved destination. Complete the verification using the confirmation sent to that address: open its Verify control in the source account, enter the destination confirmation code and choose Confirm.
  3. Choose whether to retain the source copy according to the business requirement. Keep it during initial testing.
  4. For only a subset of messages, create a filter with narrow conditions and a forwarding action instead of forwarding the whole mailbox.
  5. Send an external test to the source and confirm the destination receives it. Check the retained source copy and reply behaviour as well.

An administrator enabling forwarding between accounts within the same organisation can use Users > selected user > Mailbox Settings > Email Forwarding. That internal administrator workflow does not require destination verification. External destinations must be verified. Keep the source-copy deletion option off during your initial delivery test.

02 Avoid loops

Do not configure the destination to forward everything back to the source. Also check department aliases and ticket systems for indirect loops. Repeated automatic replies or multiple copies are reasons to disable the new rule and inspect the full route.

What should I check if Zoho forwarding is unavailable or fails?

The plan or organisation email policy may restrict forwarding. Verify the destination confirmation status first, then check policy and message delivery logs. Zoho's Run through Filters option does not apply to forwarding actions, so it cannot forward a historical folder through that rule. Treat historical email transfer as a separate migration task.

Forwarded messages can also face recipient-side authentication and spam checks. A message visible in the source mailbox is not proof that the destination accepted it. Preserve the delivery error and original message identifier when requesting help.

03 Review access

Record who approved the forwarding and when it should end. Remove it when a project or staff arrangement ends. If you discover an unknown destination, preserve its details, disable the unauthorised route and investigate account access, rather than merely changing the visible From name.
