Schedule a Zoho Meeting from the account licensed to host it. Confirm the ordered plan's participant, duration and recording allowances before arranging a session that depends on those features.

01 Schedule and prepare
- Open Zoho Meeting and choose the scheduling option.
- Enter the meeting title, agenda, date, time and time zone. Add participants and authorised co-hosts where the plan supports them.
- Review recurrence and reminders. Use a one-time session unless the group needs a recurring series.
- Save the meeting and share its invitation with the intended audience.
- Run a short preparation test with your microphone, speakers, camera and screen-sharing permissions in the supported browser or application.
02 Host the session
Join early and check that the correct screen or window is selected before sharing. Close unrelated customer records and private notifications. Use the available participant admission and meeting-security controls appropriate to the session.
If recording is needed, confirm that the feature is available, tell participants before starting and follow the organisation's approval requirements. Decide who will access the recording and how long it should be retained.
03 Verify and follow up
Check that invitees see the correct time and joining link. After the meeting, circulate approved notes and actions through controlled channels. A recording should not be the only record of decisions if some participants cannot access it.
What should I check if a Zoho Meeting participant cannot connect?
For missing audio, confirm the selected input and output devices and the browser's permissions. Try a short test after changing one setting. If screen sharing is blocked, inspect browser or operating-system permission prompts. Avoid joining the same audio session from two nearby devices, which can create echo.
When a participant cannot join, record the error, device, browser and meeting time. Check host status and plan capacity before creating a replacement meeting that leaves some attendees at the old link.
