Organising business files in Zoho WorkDrive Team Folders

email

A WorkDrive Team Folder gives a department a common place for files with defined membership and roles. Use it for continuing business records that should remain available when an individual employee changes role.

01 Create the folder

  1. Confirm that WorkDrive and Team Folders are included in the ordered Workplace plan.
  2. Open WorkDrive and choose Create a Team Folder. Give it a descriptive business name and purpose.
  3. Select the appropriate visibility. A private project folder and a folder available to the whole team have different audiences.
  4. Add members with suitable roles. Appoint a responsible folder administrator and a backup owner.
  5. Review external sharing and other folder settings before uploading customer or financial information.

02 Move working material

Create a simple folder structure based on the team's tasks. Upload a small sample and test access with a normal member, an editor and someone outside the intended audience. Confirm which file formats remain downloadable files and which are converted for Zoho online editing.

When moving existing content, inspect permissions and links after the move. Do not assume every old share behaves identically in the destination. Tell staff where the authoritative copy now lives.

03 Operate the folder

Review members at joiner and leaver events and check shared-item reports for public or external links. Use clear document names and agree who approves final versions. A large folder becomes difficult to maintain when every person invents a new structure.

Why might a Zoho WorkDrive Team Folder setting be unavailable?

Confirm the user's folder role, team role and plan. Team Folder administrators and organisers can have different abilities from ordinary members. Ask the responsible administrator for a targeted change, and provide the folder name and desired action. Do not move sensitive documents to a personal account simply because the current shared-folder permission is insufficient.
