Reviewing a document with colleagues in Zoho Writer

email

Use Zoho Writer review controls to collect feedback on one document while keeping proposed edits visible. Confirm Writer is available in the organisation's Workplace plan and that the document is stored in the appropriate business location.

01 Prepare the review

  1. Open the document in Writer and give it a clear name and owner.
  2. Share it with named reviewers using the appropriate comment, review or editing permission.
  3. Open the Review tab and turn Track Changes on before reviewers begin the edits that need to be recorded.
  4. Ask reviewers to make focused suggestions and use comments for questions or explanations. Include a deadline and decision owner.
  5. Use the Compose dropdown to switch to Review mode. Review the Changes and Comments lists separately, accept or reject each proposed edit deliberately, and resolve comments after the relevant decision.

02 Check the final copy

Use Review > Markup View > All Markup to inspect recorded edits. No Markup shows the document without displaying the change marks; selecting it does not itself accept the proposed edits. After resolving the review, read the final copy and check headings, tables, links and imported formatting. Export the required PDF or other delivery format and inspect that file as well.

03 Control collaboration

Distinguish an informal review from a formal approval workflow. If your account exposes document workflows, configure named reviewers and approval stages according to the business requirement. Do not treat the presence of a comment or read receipt as approval of a contract or policy.

What should I check if a Zoho Writer review control is missing?

If a reviewer cannot suggest or edit, inspect the document's sharing permission and the account they used. If two competing versions exist, decide which is authoritative and bring outstanding comments into that version before retiring the duplicate.

Use version history to inspect earlier states where available, but preserve the current state before a broad rollback. Remove temporary external review access once the work is accepted. Keep a record of who approved the final document and where the approved copy is held.
