Creating an OX calendar appointment and checking invitations

email

Create an OX appointment in the calendar that should own it. Confirm Calendar is enabled for the account and that you have permission to create items in the selected calendar.

01 Create and invite

  1. Open Calendar, choose the intended calendar and select New appointment.
  2. Enter the title, start and end time, location and useful preparation details.
  3. Check the time zone beside the time fields. Use an all-day event only when no specific meeting time is intended.
  4. Add participants by their exact email addresses. Review reminders and any permission allowing participants to change the event.
  5. Create the appointment and ask a test participant to confirm the time and respond.

02 Manage the meeting

Use the organiser's existing appointment for updates. Check participant responses and make any room or conference arrangements separately unless the account provides an integrated resource workflow. A location typed into an event is not proof that a room was reserved.

03 Example: invite a customer to an OX appointment

You need a thirty-minute website handover meeting. Open the intended writable calendar in OX and choose New appointment.

  1. Enter the title Website handover, the chosen start and end time and the correct timezone.
  2. Add the customer's actual email address and the colleague presenting the site.
  3. Include preparation notes such as reviewing the published pages and bringing any editing questions.
  4. Add the agreed location or meeting details, then create the appointment.
  5. Ask a test participant to confirm the displayed time and send a response.

Expected result: the invitation arrives and the participant response is visible. If a room is needed, confirm its reservation separately unless the account's integrated resource workflow actually completes that booking.

Common questions

Why can I see a calendar but cannot create an appointment?

You may have read-only access or be viewing a calendar subscription. Create the item in a writable calendar or ask its owner for the required permission.

Do external participants receive invitations?

OX sends external appointment invitations by email. Verify delivery and responses instead of assuming that saving the event means everyone accepted.

How should I change the time?

Edit the existing appointment as an authorised organiser and send the update. Creating a separate replacement can leave two active events.

For a shared calendar, check whose name appears as organiser and where the event is stored. Agree this before scheduling on behalf of another person so later updates and cancellations come from the correct owner.
