Sharing an OX calendar with appropriate permissions

email

Share an OX calendar when colleagues need to see or maintain its schedule. Review existing events first, because access applies to information in the shared calendar, not only the next meeting you create.

01 Grant named access

  1. Open Calendar and select a calendar you own.
  2. Use its Actions > Share / Permissions controls.
  3. Choose access for invited people and add the intended colleague.
  4. Select a role that permits the required work. Viewing, editing existing items and creating or deleting items are distinct capabilities.
  5. Save the invitation, then ask the colleague to open the calendar and test a harmless event.

02 Verify the boundary

Check both what the colleague can see and what they can change. Use a separate calendar for information with a different audience, such as public opening hours versus internal staff appointments.

Common questions

Should I use a public link?

Use public sharing only for a calendar intentionally approved for that audience. A link can be passed to other people. Named access is easier to review for a specific working relationship.

Does editing permission make a colleague the organiser?

Calendar permission and appointment ownership are related but different. Confirm the organiser and behaviour of invitations when someone schedules on another person's behalf.

How do I remove access?

Return to the calendar's sharing controls and revoke the person's permission. Check public-link access separately if one was enabled. Test after the change where practical.

If an invitation is not visible, verify the account used by the recipient and whether the shared calendar needs to be subscribed or displayed. Avoid broadening access to everyone just to resolve a missed invitation. Review calendar shares at staff departures and project completion.
