Create an OX contact in the address book that should own it. Use a personal book for private working contacts and an approved shared book for information the team needs to maintain together.
IN THIS ARTICLE
01 Add and verify
- Open Address Book and select a writable address book.
- Choose New contact.
- Enter the person's name, verified email address and useful business details. Add additional email or phone fields only when needed.
- Save the contact and reopen it to check spelling and field placement.
- Start a new message, search for the contact and confirm that the intended address is selected.
02 Maintain useful records
Keep a primary business address clearly identified when a person has several addresses. Add factual notes relevant to the business relationship and avoid unrelated personal information, especially in a shared book.
03 Example: add a supplier contact to the right address book
Your team needs a current contact for its print supplier. Open a writable shared address book if the team should maintain the record together, or your personal book if it is only for your own work.
- Choose New contact.
- Enter the person's name, company and verified business address, such as
[email protected]. - Add the approved business phone number in its own field instead of placing every detail in the name.
- Save and reopen the contact to check its fields.
- Compose a harmless draft, search for the contact and inspect the selected recipient.
Expected result: the contact can be found by name and inserts the intended address. If an old suggestion remains, review duplicate or collected-address entries separately.
Common questions
Why can I view a book but not add a contact?
It may be read-only, shared with limited permission or supplied as a subscription. Ask the book's owner to update the record or grant the specific required right.
Can I save a contact from a vCard?
OX supports adding contacts from compatible vCard attachments. Verify the details and destination before accepting them, particularly when the attachment comes from an unverified sender.
Why does autocomplete still suggest the wrong address?
Search for duplicate entries and check collected-address sources as well as the main contact. A new correct entry does not necessarily remove every old suggestion.
When a customer's address changes, confirm the change through an established route before replacing payment or security contacts. After editing a shared record, let relevant colleagues know so they do not continue using a local copy or an old address in a draft message.
