Importing and exporting OX contacts without duplicates

email

Import contacts into OX using a supported vCard or CSV file. Prepare a small sample first because source systems can map names, addresses and notes differently.

01 Prepare and import

  1. Export from the previous address book and retain an untouched copy.
  2. Review a working copy for duplicates, obsolete addresses and information that should not enter a shared book.
  3. In OX Address Book, select the intended writable book.
  4. Open its actions menu and choose Import. Select the supported format and upload the file.
  5. Import the sample and inspect several records before continuing with the full dataset.

02 Verify field mapping

Check contacts with multiple addresses, phone numbers, non-English characters and long notes. The documented vCard import can omit additional private or business postal addresses beyond the supported fields. Preserve the original export when that extra data matters.

03 Export contacts or a complete address book

  1. To export selected records, select the contacts or distribution lists and choose More actions > Export.
  2. To export a whole personal or public address book, select it in the folder view and choose its Actions > Export command.
  3. Choose vCard or CSV according to the destination's supported import format. Select With distribution lists only when those lists belong in the export.
  4. Choose Export, locate the downloaded file and verify representative records before using it for migration.

For example, export a few supplier contacts before the complete supplier book. Check their names, work addresses and extra fields in the destination. An export makes a separate copy and does not revoke access to the original shared book.

Common questions

Can I import into a subscribed address book?

No. Use a writable personal or appropriately shared book. A subscription is controlled by its source.

Why are fields in the wrong place?

The CSV layout or encoding may not match the expected import format. Correct the source file or use a compatible vCard export after checking its limitations.

Does importing create ongoing synchronisation?

No. A file import copies the data available at that time. Decide how future changes will be maintained before retiring the old system.

Avoid importing the same full file repeatedly to fix a few errors, since that can create duplicates. Keep the trial in a separate book when possible. Once accepted, test autocomplete and a calendar invitation using a few important contacts, then retain the verified export according to the organisation's record-handling policy.
