An OX address-book distribution list stores a set of recipients that you can select when composing mail or arranging an appointment. It is a convenience in your address book, not automatically a new public department mailbox.
IN THIS ARTICLE
01 Create the list
- Open a writable address book.
- Use the actions beside New contact and choose New distribution list.
- Enter a clear list name.
- Add the intended participants by email address or select them from the address book. Check every autocomplete suggestion.
- Create the list, then use it in a harmless draft and inspect the expanded recipients before sending.
02 Keep the audience accurate
Assign an owner to review the list after staffing or project changes. Distinguish a working internal list from a customer audience whose addresses should remain private. Use Bcc when appropriate for an approved message to unrelated recipients.
03 Example: create an OX list for a project team
You regularly email three colleagues about a website launch. Create an address-book list named Website launch team to avoid entering those same recipients repeatedly.
- Open a writable address book.
- Use the actions beside New contact and choose New distribution list.
- Add the colleagues' verified business addresses and create the list.
- Start a draft addressed to the list and inspect all expanded recipients.
- Send a short internal test and ask the intended members to confirm receipt.
Expected result: the list selects the correct recipients for your outgoing message. It does not create a public address customers can email; a department address such as [email protected] requires its own supported mailbox, alias or group arrangement.
Common questions
Can customers send to the list name?
Not merely because it exists in Address Book. A public address such as [email protected] needs a configured mailbox, alias or supported group arrangement.
Will changes to a contact always update every list?
Verify the stored recipient entries after an address changes. Do not assume a renamed or replaced contact automatically corrects every existing list and draft.
Can I use the list for marketing campaigns?
For subscribed marketing, use a suitable campaign system with consent, unsubscribe and delivery controls. A mailbox list does not provide those processes by itself.
Before a sensitive announcement, inspect the recipient list again even if it worked previously. A distribution list saves typing but cannot decide whether each member still needs the information or whether the message is appropriate for that audience.
