Share an OX Drive file with the people who need it instead of sending multiple uncontrolled copies. The feature requires an eligible account and permission to share the selected item.
IN THIS ARTICLE
01 Create a controlled share
- Select the file or folder in Drive and choose Share.
- For a named collaborator, choose access limited to invited people and enter the exact address.
- Assign the required read or edit role. Check the parent folder's existing audience as well.
- Use a public link only for an approved purpose. Where offered, set expiration and a password appropriate to the material.
- Ask the recipient to open the share using the intended identity and test the permitted action.
02 Verify what is exposed
Check that the share contains only the intended files and that an unrelated user cannot access a private item. Keep customer deliveries in a dedicated folder where it helps prevent accidental disclosure of another customer's material.
Common questions
Can a public-link recipient edit the file?
The documented public-link model provides read access. Use an appropriate named invitation when collaboration needs editing, subject to the account's controls and file type.
Why does the recipient see an access request?
Confirm the signed-in address, invitation and link type. Do not make the file public simply to avoid checking a mistaken account.
How do I stop sharing?
Return to the sharing controls, revoke the intended person's access or unshare the item. Review public links separately and test the result.
Revoking access cannot retrieve copies a recipient already downloaded. Agree retention and handling expectations when sharing sensitive work, and preserve the approved final version in the organisation's controlled storage.
