Reducing OX mailbox storage without losing important mail

email

When an OX mailbox approaches its limit, identify what is consuming space before deleting mail or requesting a plan change. Mailbox capacity and productivity storage may be separate, and the current ordered service determines the allowance.

01 Recover working space

  1. Open the mailbox's usage or quota indicator and record the used space, allowance and warning.
  2. Review large messages and attachments across Inbox, Sent and other folders. Moving mail into an archive folder within the same mailbox may not reduce total usage.
  3. Save required business records through an approved export or backup method.
  4. Delete only material approved for removal. Empty Trash after checking that it contains nothing still needed.
  5. If the mailbox needs lasting additional capacity, review the service's available upgrade with us rather than repeatedly deleting current work.

02 Test delivery again

Allow the usage display to refresh, then send a small external message and a reply. A previously rejected message may need the sender to resend it. Confirm the source of the warning if the mail quota looks healthy but Drive uploads fail.

Common questions

Does deleting mail from my phone always free server space?

That depends on how the application is connected and how it handles deleted items. Inspect the result in OX webmail and its Trash before assuming the server copy is gone.

Can I use Drive to avoid large attachments?

If your plan includes Drive, a controlled sharing link can reduce repeated copies of working files. Check recipient permissions and retention needs first.

What information helps support?

Send the mailbox address, service reference, usage figures and exact rejection. State when space was removed or an upgrade completed. Do not send a whole mailbox export just to demonstrate a quota problem.
