Save an OX message as an EML file when you need an independent working copy or an original for support. This preserves more message detail than copying the visible text into a document.

01 Export selected messages
- Select the required message or small group of messages in OX Mail.
- Choose More actions > Save as file.
- Save the download to a restricted business location. Multiple selected messages can be packaged as individual EML files inside a ZIP archive.
- Open a sample with a suitable mail application and confirm the body, date and attachments are present.
- Record the purpose and retention location of the export.
02 Choose the right scope
For an incident, export the original affected item. For a mailbox migration, use a planned migration or full export process rather than manually downloading hundreds of unrelated messages. Keep an untouched copy if the original is needed as evidence.
Common questions
Does saving delete the message from OX?
Saving a copy is separate from deleting the source. Verify the export before considering any removal from the mailbox.
Is a PDF equivalent to EML?
A PDF can be useful for reading or printing, but it may not preserve the complete original mail structure and attachments in the same way. Use the format requested for the task.
Is this a complete backup?
A few saved messages cover only those selected items. They do not preserve all folders, contacts, calendars, rules or future mail.
Protect exported files as carefully as the mailbox. A ZIP archive is not automatically encrypted, and its filename can reveal customer information. When sharing with us, use the approved channel and include a short explanation of the issue. Remove temporary duplicate exports when the task is complete and the retention requirements allow it.
